This policy explains what personal information Boogie Audio Visual collects, why we collect it, how we look after it and what your rights are. We follow the Protection of Personal Information Act, 2013 (POPIA).
1. Who we are
Boogie Audio Visual supplies sound, lighting, staging and sound engineering for events in Cape Town and surrounds. For the purposes of POPIA, we are the "responsible party" for your personal information.

2. What we collect
When you request a quote, we collect the details you give us on the form:
- Your name, email address and, if you choose to give it, your phone or WhatsApp number
- Your event details: date, times, type of event, venue and town, guest count and whether it's indoors or outdoors
- The package and add-ons you're interested in, and anything else you tell us in your message
- How you heard about us, if you choose to tell us
When you message us on WhatsApp, we receive your phone number, your WhatsApp profile name and anything you send us.
When you book or communicate with us, we also keep our emails and messages with you, and the details needed for quotes, invoices and payments.
When you visit the website, our hosting provider automatically records basic technical information such as your IP address, browser type and the pages you visit. This is used for security and to keep the site running properly.
We do not knowingly collect information from children, and we do not ask for special personal information such as health, religious or biometric information.
3. Why we use it
- To reply to your enquiry and prepare a quote
- To plan, deliver and support your event
- To invoice you, take payments and keep the business records the law requires
- To understand how people find us, so we can improve our marketing
- To keep our website secure and working
We only process your information where we have a lawful reason to: because you've asked us for a quote or booked with us, because you've given your consent, because we have a legitimate business interest that doesn't override your rights, or because the law requires it.
4. Marketing
We won't send you marketing messages unless you've agreed to receive them. If you do agree, you can opt out at any time by replying to any message or emailing us.
5. Who we share it with
We never sell your personal information. We only share it where it's needed to run our business or deliver your event:
- Our team, including the sound engineer and crew working your event
- Your venue or event planner, where needed for logistics such as access, setup times and power
- Service providers who help us operate, such as our website host, email provider and messaging apps
- Our accountant, for financial and tax records
- Authorities, if the law requires us to
Anyone we share information with must keep it confidential and secure.
6. Information stored outside South Africa
Our website is hosted by Bluehost, our site loads fonts from Google, and WhatsApp messages are handled by WhatsApp (owned by Meta). These services may store or process information on servers outside South Africa, including in the United States. Where this happens, we rely on providers that are bound by data protection laws or agreements offering protection comparable to POPIA.
7. How long we keep it
- Quote requests that don't turn into bookings: up to 12 months, in case you come back to us, then deleted
- Booking, invoice and payment records: 5 years, as required for tax purposes
You can ask us to delete your information sooner, unless we're legally required to keep it.
8. How we protect it
We take reasonable technical and organisational steps to protect your information against loss, misuse and unauthorised access. These include secure (HTTPS) connections on our website, password-protected accounts and limiting access to the people who need it. No system is completely secure, but we'll let you and the Information Regulator know if a breach affects your information, as POPIA requires.
9. Cookies
Our website uses only the cookies it needs to work properly. If we add analytics or advertising tools in future, such as Google Analytics or Google Ads conversion tracking, we'll update this policy to explain what they do and how you can control them.
10. Your rights
Under POPIA, you have the right to:
- Ask whether we hold personal information about you, and request a copy of it
- Ask us to correct information that's wrong or out of date
- Ask us to delete your information, where we're not legally required to keep it
- Object to us processing your information, including for marketing
- Withdraw your consent at any time, where we rely on it
- Lodge a complaint with the Information Regulator

11. Complaints
If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You can also complain to the Information Regulator of South Africa via inforegulator.org.za.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
